ActiveCampaign's export quietly drops every note: getting contacts out with their memory intact

You export your ActiveCampaign contacts, open the CSV, and everything looks right. Emails, names, custom fields, all there. What you cannot see is what is missing. Every note your team ever attached to a contact, years of context, is not in the file. And nothing warned you.

The most dangerous kind of gap: the invisible one

Incomplete exports come in two kinds. The honest kind fails loudly: an error, a warning, a missing file. The dangerous kind succeeds quietly with something missing, and ActiveCampaign's contact export is the dangerous kind. The CSV it produces is real and correct as far as it goes. It just does not go as far as notes. And since a spreadsheet cannot show you the column it does not have, most people find the gap after the migration, after the cancellation, after the API access died with the subscription.

Why notes are the part that matters

Custom fields can be rebuilt. They are structured data, and structured data can be pulled from other systems. Notes cannot. "Spoke to Priya 14 Feb, budget freeze until Q3, re-approach with the annual plan discount, real decision maker is the CFO" exists in exactly one place. Lose the notes and your new platform receives a list of email addresses that used to be relationships.

The complete export

The notes are not gone. They are just not invited to the export. ActiveCampaign's API exposes them fully, and that is what our notes exporter uses. It pulls your contacts with all custom fields, then walks the notes for each one, and produces a single CSV where the history rides along with the records. Your API key is used in memory for the run and never stored on our servers. Access is read-only. The preview is free, so you can confirm the notes column is filled before running the whole account.

An export can be accurate and still be missing the point. Completeness is the part you have to check yourself.

The timing rule that saves people

If you are leaving ActiveCampaign, order matters brutally. Export first. Cancel second. API access usually ends when the subscription does, and the notes have no other way out. Even if you are staying, an occasional full export with notes is the cheapest insurance your CRM data can buy. The file sits in your storage costing nothing, until the day it is priceless.

Frequently asked questions

Does ActiveCampaign's export include notes?

No. The native contact export covers contacts and custom fields but omits notes. Notes are accessible through the API, which is how a complete export tool includes them.

How do I export ActiveCampaign contacts with their full history?

Use an API-based exporter that fetches contacts with custom fields and iterates each contact's notes, producing one CSV. Run it while your subscription and API key are still active.

What happens to my ActiveCampaign data after I cancel?

API access generally ends with the subscription, and portal access soon after. Anything not exported before cancellation, notes especially, becomes effectively unrecoverable.
